Companies juggle many administrative workflows, from requests and documents to inquiries and benefits, which can create operational friction and overload HR and administration teams. To meet the need for a system that centralizes internal processes and improves communication across departments, we took on the challenge of designing an intranet that would not only digitize processes but also strengthen company culture and the employee experience.
The project began by identifying a set of modules that would address this pain point and support the tracking of internal processes within teams such as HR, including:
Centralize key administrative processes on a single platform.
Automate HR workflows.
Improve internal communication.
Make cross-department collaboration easier.
Provide management and workplace climate metrics.
Integrate with the existing organizational structure (users, roles, positions, and departments).
This called for a solution that would scale over the long term, be secure for both users and internal process teams, and adapt as the organization grows.
To address these needs, we designed and developed a Modular Corporate Intranet made up of the following modules:
Pay Stubs Module: Full history of digital documents available for download.
Vacation Module: Request, approve, and view available balance with automated workflows.
Expense Reports Module: Receipt upload, validation, and approval status tracking.
Employment Verification Letter Module: Generated automatically on employee request.
Corporate Benefits Module: Dynamic information section with access to partner discounts and internal perks.
An interactive posts module that provides an internal social network with features such as:
Reactions to users' posts and comments.
Comments.
Announcements and notifications.
Birthday reminders.
Department Inquiries Module: A structured channel to route internal requests to the right department.
Internal Messaging Module: Direct communication between employees.
Corporate Events Module: Calendar and management of internal activities.
The management team can:
Manage users.
Assign roles and permissions to new or existing users.
Assign job titles within the company.
Set the department each user belongs to.
Manage a dynamic org chart.
Maintain a corporate phone directory for every department.
This ensures long-term governance and traceability of information.
File Library Module: A centralized repository with access control for documents such as certificates, pay stubs, and more.
Resources and Meeting Rooms Module: Online booking and availability system for the company's meeting rooms, providing better visibility and tracking of rooms in use for meetings or business sessions.
Workplace Climate Module: Periodic measurement of the workplace climate.
Economic Indicators Module: Information dashboard with key statistics and macroeconomic metrics.
